About the Role:

Velma’s House is a low-barrier, Indigenous-led safe space designed to support women and gender-diverse individuals who are unsheltered, experiencing sexual exploitation, or facing gender-based violence. We are seeking a dedicated and experienced Schedule and Database Coordinator who is responsible for ensuring the smooth daily operations of Velma’s House by managing 24/7 staff scheduling, data tracking, and administrative tasks. This role supports a trauma-informed, culturally responsive environment by maintaining accurate statistical data, overseeing varying shift schedules, training and certification tracking, and facilitating smooth transitions between staff. The Coordinator fosters an atmosphere of lateral kindness, respect, and accountability among staff and participants.

What You’ll Be Doing:

  • Creating, monitoring, and maintaining schedules to ensure 24/7 staff coverage
  • Handling shift change requests and finding replacements when needed
  • Tracking staff certifications and scheduling required training sessions
  • Overseeing digital and paper timesheets and payroll records for accuracy
  • Managing a centralized database for program data entry and tracking key statistics
  • Assisting in the preparation of reports related to program funding and service delivery
  • Maintaining a confidential binder with security alerts for voluntary participant reference.
  • Initiating financial processes such as cheque requisitions for approval.
  • Providing general administrative support to ensure seamless daily operations.

You Have:

  • Minimum 3 years of experience in scheduling, administration, or database management, preferably in a 24/7 service setting.
  • Strong knowledge of trauma-informed practices, harm reduction, and Indigenous cultural safety.
  • Proficiency in using digital scheduling and database management systems (e.g., OneDrive, Payworks).
  • Ability to foster a collaborative and respectful work environment.
  • Strong organizational skills and attention to detail.
  • Lived experience and/or deep understanding of the needs of Indigenous women, girls, and Two-Spirit individuals is considered an asset.
  • Valid Manitoba Class 5 Driver’s License and access to a vehicle is required
  • Satisfactory completion of recent (as of the last 6 months) Criminal Record Check with Vulnerable Sector Search; Child Abuse Registry Check; Adult Abuse Registry check
